How to Prepare a Private-Label Laser Plywood RFQ

A private-label material range needs more than a logo on a carton. Your RFQ should describe the product your business wants to sell, the purchasing reference behind it and the order terms you need compared.

Describe the Business Program

Tell the supplier whether you sell to individual laser users, wholesale accounts, marketplace customers or production businesses. The customers may buy small packs, while your purchasing program requires a larger supply arrangement. Keep those two quantities distinct.

Explain the role of the proposed material in your assortment: a core light-colored panel, a decorative species addition or an engineered-board option. Share an initial order quantity when you have one. Forecasts should be marked as planning estimates, not treated as committed orders.

You do not need to disclose customer lists or confidential order records to start a general sourcing discussion. A material and packaging brief is usually a more useful first step.

Specify the Material Before the Packaging

  • Material family and requested face/back species.

  • Core construction, veneer grade and ply count where applicable.

  • Exact nominal thickness, stated units and tolerance requirement.

  • Finished width × length, cutting tolerance and surface requirements.

  • Sample evaluation needs and intended equipment or application.

  • Required documentation for the actual material and destination market.

Make the Pack Format Explicit

State the number of sheets per pack and how different materials or sizes should be separated. If you want a sample assortment, identify each component rather than leaving the supplier to infer a mix.

List the label information you need: material name, dimensions, pack count, your approved SKU reference and any required identification. Submit barcode and artwork requirements only when they are ready for the appropriate review. Do not add a certification or performance claim to a label until its evidence covers the product.

Describe carton requirements and any retail-ready presentation needs separately. Ask the quotation to distinguish material, cutting, labels, inner packaging and outer-carton costs where relevant. This helps compare equivalent offers rather than only the apparent sheet price.

Define the Sample Approval Path

Agree whether you need material-only samples, a packaging sample or both. Record how the sample corresponds to the proposed order, the checks you will perform and the approval reference you will retain.

If an artwork revision or material change occurs after sample review, identify which part of the approval needs to be repeated. Keep the material specification and packaging revision connected to the final purchase record.

Your own retail product description should be based on the approved specification. Avoid using another seller's settings, veneer construction or flatness claims as if they describe the panel you have sourced.

Ask for Comparable Commercial Terms

Request the selling unit, currency, minimum quantity and quantity breaks for the proposed configuration. Identify the delivery destination and the trade terms you want quoted. Ask which costs are included and which remain outside the price.

Keep the material price, packaging and logistics clear. A quoted unit price without an agreed selling unit or delivery boundary is difficult to compare. Production timing, payment terms and any assumptions should be recorded in the quotation.

This sourcing guide does not provide a market price, landed-cost promise or fixed lead time. Those values depend on the actual order and confirmed inputs.

A Practical First Inquiry

Subject: Private-label plywood program — [Company name]. Introduce your business and list the material families, exact thickness, finished sheet size, initial quantity, desired pack count, destination and sample priorities. Include a brief description of the channel you serve.

Ask which construction and packaging details still need confirmation, and request a quotation for the agreed specification. Start with non-confidential requirements; share sensitive artwork only through a mutually approved process when it is needed.
